This flexible software is designed to work with RMA Corporate or Enterprise so that you can easily fax documents using multiple sessions and modems. Unlike low-cost, off-the-shelf software like WinFax, AF2000 is designed for RMA Corporate or Enterprise to support many users.

AF2000 can also be used with other Windows products such as Word, Excel, etc. When you want to print, simply choose the AF2000 printer and it will ask for the fax number to which the document is to be sent. Enter the number and the remote fax number and the document will be sent.

 

Each user installs a printer driver that intercepts your print job and directs it to a fax modem that dials a remote fax machine. Using it is simple – just choose the “virtual fax machine “ as you would any other printer on your system.

To use AF2000 there are two separate pieces of software required:

  • Server
  • Client
 

The server software in installed to manage the flow of faxes through the hardware. It looks for a new fax, finds available modem and manages the sending of the fax to the external machine. When the fax is complete the server looks for another fax for the modem. If a document fails to go through, the sending operator is notified.

The AF2000 server software checks a directory at a definable rate of time for files. It locates all files with the same file name (phone number) and creates one fax from them. The fax server then uses the file name as the phone number to call.

The client software makes the fax option available to the user in the form of a printable driver. When you attempt to print, it converts the image to look like your screen and sends that special file to the server where it will take over.

To fax statements from RM2000, a statement code must be set up with the fax option and customers will be assigned this statement code. To print fax statements, go to statement printing and select the statement code that was setup for faxed documents. RM2000 then calls the fax driver that converts the printed file to fax format and writes it out to the fax server directory.

You can also use AF2000 to reprint invoices. To do this the Invoice reprint reads in a file that has a heading stating whether it is a fax or print job, the reprint function will call the fax driver to convert the file and write it out to the fax server directory.

  • The external modems can be connected using a USB or a digi-board device. This machine may need to be solely dedicated to faxing if there are heavy faxing requirements for the office.
 

Can it be used with multiple users?

Generally, AF2000 can be used in three different environments:

  • Single user
  • Multiple users
  • Multiple users with Terminal Services
 

The first two are fairly simple and follow the same basic process. With Terminal Services the process is a little more involved.

What hardware do I need?
Before you install the software, you need a working computer with modems, phone lines and in some cases, multi-port boards. If you are using one or two modems in a system, then the hardware installation is relatively easy. If you have more than two modems, it is a bit more challenging.

How many fax ports will the software support?
The server software will support up to 66 fax ports. Although 66 is the maximum, some systems may not support that many due to CPU constraints. The maximum number of ports will also vary dependent upon the number of sending and receiving ports. Receiving faxes consumes more CPU cycles than sending. For many users, choosing a server with two internal modems may be all that is needed. If so, internal modems usually work well along with a couple of phone lines.

Can I fax out my statements in bulk?
Yes, if you have many commercial customers in your database, you can fax a statement to each of them at the end of the month. This is one of the most cost-effective ways of delivering information to your customer. Generally, the cost for faxing is very economical and often free if it is a local call.

Can I send invoice copies to customers?
Yes, sending invoice copies to customers is very easy. This can be done by going into the customer information screen under Lists. Click on the Finance tab and drill down to the Invoice Lookup area. Drill down, look at Invoice Ledger, and click on an invoice, and click the FAX button. This will bring up a cover sheet where notes can be added. The fax will be sent directly without printing a hard copy.

Can I do a batch sending of Dunning Notices?
Yes, sending dunning notices to your customers is also a very simple process. Go to Reports, Dunning Notices, and select your criteria, then click on the FAX button. The fax will be sent directly without printing a hard copy.

Can I see the results of my fax?
Yes the system keeps a log of all faxes. On the server screen you will see Pending, Sending, Sent, and Failed buttons along the bottom section of the window. Click on these tabs to view the status of each.

The Log Displayed field shows which log is currently being shown and the number of records on that tab, including the status of the AF2000 program, i.e., checking for faxes, sending faxes, etc.
