If you have decided that the Bulk Statements Module is for you, there are a couple of important details you should know.
Every month Matrix Imaging will print your statements on a high-speed laser printer, using your choice of their own stock paper. They will include a return envelope for your customers to mail back their payments to you. Not only that, but Matrix will put all the materials in the envelope, sort them into ZIP order, and apply Postal bar codes for lower postage rates. The best part is that they do all of this within 24 hours of receiving the data file from you.
After Matrix Imaging receives the data file, they will send you 'Quality Assurance Proofs' of randomly chosen statements. These are copies of what your statements will actually look like with the data they receive. After you have checked the proofs for accurate information, you will release your file for processing. If you see an error, notify Matrix Imaging immediately.
Matrix Imaging usually requires 3 to 4 weeks to get the first mailing out. This allows time for Matrix to set up your account, receive the test data file, get the 'proofs' approved, etc. You can pay a ONE TIME additional fee of $150.00 to put a 'rush' set up on your file, which will allow you to have your first mailing before the initial 3 week set up period depending upon Matrix’s scheduling availability.
Price
The following fees will need to be paid before the first mailing takes place.
- $400.00 set-up fee paid to Advantage Route Systems
- The first mailings postage must be paid in advance to Matrix Imaging. You can calculate an estimate by multiplying the number of statements by $0.36. For Example: 1000 statements x $0.36 = $360.00. Mail this amount to Matrix Imaging, indicating your Client Code and "postage" on the check. They will then send out your first mailing. You will NOT receive an invoice for postage. Any time funds are deducted from, or added to, your postage account, you will receive a "Postage Detail Report" the following Monday.
