Each user installs a printer driver that intercepts your print job and directs it to a fax modem that dials a remote fax machine. Using it is simple - just choose the “virtual fax machine “ as you would any other printer on your system.
To use AF2000 there are two separate pieces of software required:
The server software in installed to manage the flow of faxes through the hardware. It looks for a new fax, finds available modem and manages the sending of the fax to the external machine. When the fax is complete the server looks for another fax for the modem. If a document fails to go through, the sending operator is notified.
The AF2000 server software checks a directory at a definable rate of time for files. It locates all files with the same file name (phone number) and creates one fax from them. The fax server then uses the file name as the phone number to call.
The client software makes the fax option available to the user in the form of a printable driver. When you attempt to print, it converts the image to look like your screen and sends that special file to the server where it will take over.
To fax statements from RM2000, a statement code must be set up with the fax option and customers will be assigned this statement code. To print fax statements, go to statement printing and select the statement code that was setup for faxed documents. RM2000 then calls the fax driver that converts the printed file to fax format and writes it out to the fax server directory.
You can also use AF2000 to reprint invoices. To do this the Invoice reprint reads in a file that has a heading stating whether it is a fax or print job, the reprint function will call the fax driver to convert the file and write it out to the fax server directory.
